What Does Hosting a Jupyter Workshop Entail?

Before You Submit a Workshop Proposal

You’ll:

  • Choose a workshop name
  • Confirm your organizing team, including at least one organizer from the Union of Councils
  • Define your goal and topic
  • Pick a proposed date
    (Dates can be approximate. Avoid overlap with JupyterCon—do not schedule between October 20 and November 20 unless co-locating with JupyterCon.)
  • Propose a venue
  • Propose a budget
    (Include a total amount and a high-level breakdown by expense category. Be sure to note any external funding sources, such as company sponsorships.)

Then, submit your proposal using our form!

Planning the Workshop

Once your workshop is accepted, you’ll:

  • Manage the workshop budget (We’ll provide a template to use)
  • Design the schedule, agenda, and format
  • Ensure a diverse speaker lineup
    (Workshops with speaker-driven content may not feature all-male lineups)
  • Secure required AV setup (We’ll provide recommendations)
  • Select and order food & beverage (Guidelines will be provided!)
  • Arrange internet access (Guidance provided)
  • Use our signage template to create workshop signs and arrange local printing
  • Contribute to marketing efforts
    (Includes writing marketing copy, posting to the blog, and submitting requests to the Jupyter Media Strategy Working Group)
  • Submit logistics and event details for the pre-event attendee email

We’ll help by:

  • Running the registration form and sharing the registration list with you
  • Maintaining the workshop website, including listing the finalized agenda
  • Shipping stickers for you to hand out at the event
  • Sending the pre-event email to registered attendees

During the Workshop

You’ll:

  • Provide on-site volunteers as needed
  • Arrive early to ensure everything is ready: AV, food, internet, and room layout
  • Welcome attendees and facilitate a smooth experience throughout the day
  • Host the event, including introducing speakers and keeping the program on track

After the Workshop

You’ll:

  • Share final details for the post-event attendee email
  • Provide a final, itemized budget, and submit reimbursement requests
  • Share photos from the event
  • Write a wrap-up blog post
  • Offer feedback to help improve future workshops
