Speaker Guide

We welcome you as a speaker for Open Source Summit Japan + AI_dev: Open Source GenAI & ML Summit + Automotive Linux Summit 2025, held in person at Toranomon Hills Forum in Tokyo, Japan, from December 8-10.

  • Speakers Registration Deadline: Friday, October 3. You should have received registration information in your speaker notification email. Please email cfp@linuxfoundation.org if you need this information sent to you again.
  • Additional AV Request Deadline: Monday, November 10
  • Speaker Slides Due: Sunday, December 7
  • Event Dates – OSS Japan: Monday, December 8 – Wednesday, December 10

Your registration confirms that you will speak, and you must register by October 3. Please see your speaker notification email for registration information or email cfp@linuxfoundation.org if you need this information sent to you again.

All speakers receive complimentary registration, and any co-speakers or panelists can register using the same details provided above.

If you require a visa letter, please register for the event and complete the request here. The Linux Foundation processes most visa letter requests in (3) business days.

If you are applying for travel funding and have not submitted your request, please do so as soon as possible. Submit your request by October 20. Note that talk acceptance does not guarantee travel funding.

The schedule will be announced on September 23 and posted on our websites – Open Source Summit Japan + AI_dev: Open Source GenAI & ML Summit Japan + Automotive Linux Summit using sched.com. You will receive an email from sched.com asking you to create your account; please upload your bio and photo if not showing in your speaker profile.

If you have a conflict with the timing of your talk, find that it conflicts with the content of another talk, or are having problems uploading your bio and photo, please contact cfp@linuxfoundation.org.

Please note the following technical requirements:

  • All speakers must supply their own computers and adapters to use during their talk.
  • Presentation slides should be formatted in 16:9. 
  • The room will include a screen, projector, and (2) microphones; panelists will each receive their own microphones.
  • If you require additional AV, please email cfp@linuxfoundation.org with those needs by November 10. The Linux Foundation will make every effort to accommodate additional AV needs; however, final approval for additional AV requests will be made on a case-by-case basis.

All speakers are required to submit their final presentation slides before the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session. The deadline for presentations is December 7.

To upload slides, follow these instructions (guide with screenshots):

  • Log into your Open Source Summit Japan speaker profile through Sched.com or via the mobile site.
  • Go to your session within Sched.com
  • Click on Session tools to the right of the session title
  • Underneath the session title, select Add Presentation
  • Upload your pdf document (note: there is a 50MB size limit)
  • The presentation will automatically save to your session
  • Or send them to cfp@linuxfoundation.org, and a member of the content team will assist.

Optional PowerPoint templates are available to download at the links below. Please note the use of the template is not required.

In collaboration with the National Center for Women in Technology (NCWIT), the Linux Foundation has created an online course designed to teach the viewer about inclusion and unconscious bias. We highly recommend all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging.
