Speaker Guide

Thank you for speaking at OpenSSF Community Day Europe, taking place in Prague, Czechia, on 6 October.

Important Dates + Deadlines

  • Official Schedule Posted: 23 July
  • Speaker Registration Deadline: 4 August

RegistraTION

You should have received registration information in your speaker notification email. If you need those details again, please contact Jennifer Crowley.

If you have already registered for the event and are now listed as a speaker on the schedule, please reach out to our registration team to request a refund.

VISA LETTER REQUESTS

If you require a visa letter, please register for the event and then complete the visa letter request form.

Please note the following:

  • The provision of a visa letter by The Linux Foundation does not guarantee visa approval, as final approval is at the sole discretion of the government of the event’s host country.
  • The Linux Foundation strongly recommends that you request a visa letter at your earliest convenience and contact your local Embassy/Consulate with any visa questions you may have.
  • The Linux Foundation processes most visa letter requests in (3) business days.

SCHEDULE INFORMATION

The schedule will be announced on 23 July and posted on our website using sched.com. You will receive an email from sched.com asking you to create your account; please upload your bio and photo, if needed.

AV Details + Requirements

Please note the following technical requirements:

  • All speakers must bring their own computer and adapters for their talk.
  • Presentation slides should be formatted in a 16:9 aspect ratio.  
  • The room will include a screen, projector, and (1) microphone for each speaker.
  • Need extra AV? Email Jennifer Crowley by 15 September. The Linux Foundation will make every effort to accommodate other AV needs; however, final approval for AV requests will be made on a case-by-case basis.

Presentation Details + PowerPoint Template

All speakers are required to upload their final presentation slides by 5 October. In addition to providing a hard copy for accessibility, we find that adding the presentations before the event helps drive interest in attending the session.

Please note that your presentation slides should be formatted in 16:9 and submitted as a PDF.

To upload slides, follow these instructions (guide with screenshots):

  • Log into your speaker profile through Sched.com
  • On the top of the page, click “Manage and Promote Your Session”
  • Click “Add Presentation”
  • Click in the “Select a File” box and add the PDF document (note: there is a 50MB size limit)
  • Click “Upload” and your slides will automatically be saved

An optional PowerPoint template is available to download here. Use of the template is optional.

connecting your laptop to present

If you plan to use speaker notes, please follow the steps below to ensure your laptop is set up correctly. This will allow you to view your notes while the audience sees only your slides.

Before Connecting
  • Close all unnecessary apps & tabs
  • Turn off notifications
  • Disable Night Mode / TrueTone
  • Don’t enter full-screen presentation mode yet
At the podium
  • Plug in the HDMI cable
  • If needed, use your USB-C to HDMI adapter
  • On Mac, click “Allow” if prompted
Use “Extended Display” mode (not Mirrored)
Using MAC
  • Go to System Settings > Displays
  • Click the “Arrangement” tab
  • Make sure “Mirror Displays” is unchecked
Using PC
  • Press ⊞Win + P, then select “Extend”
  • Or: Right-click on the Desktop > Display Settings
  • Under Multiple Displays, select “Extend these displays”
PowerPoint
  • Start slideshow: ⌘Cmd + Enter (Mac) or F5 (PC)
  • Or: Click Slide Show > Play from Start
  • If notes show on the wrong screen, click “Swap Displays”

Google Slides
  • Use Google Chrome as your browser
  • Click the dropdown next to ‘Slideshow’ > select Presentation Display Options
  • Check “Presenter View” and “Full Screen”
  • If prompted, select “Allow”
  • Choose the external display (may have a strange name like PanasonicXYZ)
  • Click Start Slideshow

Inclusivity Course

In collaboration with the National Center for Women in Technology (NCWIT), the Linux Foundation has created an online course to teach the viewer about inclusion, accessibility, and unconscious bias. We highly recommend all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging.
