Speaker Guide

Overview

We welcome you as a speaker for PyTorch Conference 2023 taking place October 16-17 at the Hyatt Regency San Francisco Airport in San Francisco, California.

Important Deadlines

  • Schedule Announced: Tuesday, August 15
  • Speaker Registration Deadline: Wednesday, August 23

To confirm your participation, register by Wednesday, August 23, using the code PYTORCHSPK23, and select “In-Person Speaker” from the drop-down menu.

Visa Requests

If you require a visa letter, please register for the event, and then complete the visa letter request form.

All visa letter requests must be submitted no later than two weeks prior to the event. Any visa letter requests made after the two-week deadline cannot be guaranteed. The Linux Foundation processes most visa letter requests in (3) business days.

Travel Funding

If you are applying for travel funding and have not submitted your request, please do so as soon as possible. The deadline for travel funding applications is August 28, 2023. (Note that talk acceptance does not guarantee travel funding.)

Schedule + Uploading Bio / Photo

The schedule will be announced on Wednesday, August 9, and posted on our website using sched.com. You will receive an email directly from sched.com asking you to create your account; please make sure to upload your bio and photo if needed.

If you have a conflict with the timing of your talk, find that it conflicts with the content of another presentation, or are having problems uploading your bio and photo, please contact sjessee@linuxfoundation.org.

Schedule Timing:

  • Session Presentations: 25 minutes
  • Lightning Talks: 10 Minutes
  • Poster Sessions (Monday, October 16 during Evening All-Attendee Reception)

IMPORTANT NOTES: Please refer to the schedule or your speaker notification to confirm the accepted format of your submission. In order to maximize content for the conference, some sessions were accepted by the program committee in an alternative format. If you are unable to present, please reach out to sjessee@linuxfoundation.org as soon as possible. 

AV Details + Requirements

Any additional AV requests are due by Monday, September 25.

Please note the following technical requirements:

  • All speakers must supply their own computers and adapters to use during their talk
  • Speakers should format their presentation slides in 16:9  
  • You can download a conference-branded presentation template here; use of the template is optional.
  • The room will include a screen, projector, and (2) microphones.

If you require any additional AV, please email Shannon Jessee with those needs by Monday, September 25. The Linux Foundation will make every effort to accommodate other AV needs; however, final approval for additional AV requests will be made case-by-case.

Poster Session Information

Poster presenters: please register by Wednesday, August 23 to confirm your participation as a poster presenter.

Poster Session Print Deadline: EOD Wednesday, September 27. If your poster is not finalized at this point, or if you have any changes after this point, you’ll need to print and transport your poster to the event.

SPECIFICATIONS

An optional template is available for download here. The Linux Foundation will print posters on large size paper (A1 format). The finalized poster should be submitted in PDF by EOD Wednesday, September 27.

  • Size: A1 60cm x 84cm, printed one-sided
  • File type: PDF, include .3 cm (3mm) bleed & crop marks
  • Technical Specs:
    • CMYK color
    • Ideal bitmap resolution is 100-150 DPI in final size
    • Individual files sizes smaller than 100MB

Caution: Do not change the paper size in the example template. It is intentionally set to a big size.

SUBMIT YOUR FILE

Please add your finalized file to the Google Folder no later than EOD Wednesday, September 27. Please note, once you have submitted your file we are unable to make any changes or accept new files. Please reach out to sjessee@linuxfoundation.org if you have an alternative method of submitting files, or would like to share directly. 

PowerPoint Template + Presentation Requirements

Due by Friday, October 13

All speakers are asked to submit final presentation slides before the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session.

Please note that your presentation slides should be submitted in PDF format to Sched.com and must be formatted in 16:9. 

To upload slides:

  • Log into your PyTorch speaker profile through Sched.com
  • Go to your session within Sched.
  • Click on Session tools to the right of the session title
  • Underneath the session title, select Add Presentation.
  • Upload your pdf document (note: there is a 50MB size limit)
  • Or send them to sjessee@linuxfoundation.org, who will upload them on your behalf.

Inclusive Speaker Orientation Online Course

In collaboration with the National Center for Women in Technology (NCWIT), the Linux Foundation has created an online course designed to teach the viewer about inclusion, diversity, and unconscious bias. We highly recommend all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging. Please click here for the course
