Diamond Deliverables
Custom Question(s) in Post Event Attendee Survey: Opportunity to add question(s) of your choice (subject to LF Energy approval), and follow-up reporting with data results.
Access to Pre and Post Attendee Registration Contact List (Opt-In Only): List may be used for marketing purposes, and will include attendee contact information (with email address) of opt-in attendees. Lists will be sent approximately 1 week before and 1 week after the event.
Speaking Opportunity: Diamond sponsors receive a 10-minute keynote and breakout session speaking opportunity. All sponsor content must be approved by the Program Committee and LF Energy. No sales or marketing pitches allowed. Please send over required content and email the Content Event Manager, Shannon Jessee, with any speaking related questions at [email protected]. Tabletop information (needs update)
All sponsors receive a tabletop booth space which includes:
- (1) 140 cm x 70 cm x 74 cm with black drape
- (2) chairs
- (1) power strip
- (1) lead retrieval device + license
- Shared conference wifi
You may bring custom tablecloths, pop-up banners/backwalls (must be self assembled by booth staff and not require power tools), or anything that fits within your 2M (width) x 1.5M (length) footprint and is 2.5M or under in height. Materials may not go outside your footprint. Subject to LF Energy and LF Event team approval.

Storage Onsite: Please store your empty boxes underneath your tabletop exhibit.
AV Upgrades
If you would like to rent monitors, laptops, or other audio/visual equipment for your booth, you may order and pay directly to the venue approved vendor, BTL. Please fill out the order form below no later than Monday, 3 August. To preserve adequate booth space and ease of movement, we recommend no more than two monitors: one tabletop display and one floor-standing display.

Hardline Internet and Power
Each booth package includes access to conference Wi-Fi shared with attendees and exhibitors, as well as standard power provided for multiple devices. If running technical demos, we strongly recommend hardline internet.

Tech Best Practices
- DO purchase a wired connection if your booth is planning a demo or other internet-dependent activity.
- Do NOT bring outside equipment that requires power (outside of personal devices such as cell phones and laptops) into the venue.
- Do NOT bring audio devices or order speakers. Speakers are not allowed, and general exhibitor noise level cannot exceed 50 decibels. If noise level is disruptive in any way, CNCF and the Linux Foundation reserve the right to request for adjustments to be made.
- Do NOT play videos on loop with audio.
- Do NOT channel bond. Use the 2.4 GHz channel. If using the 5 GHz channel, it should be on 20 MHz wide.
- Do NOT use Wi-Fi hotspots, and avoid setting up your own network in the Solutions Showcase. These are unlikely to function well and will slow wireless down for everyone else.
- Do NOT use Chromecasts, Apple TV, or similar wireless casting/networked AV devices.
- DO bring any HDMI, Ethernet, or other required adapters for your laptop or other playback devices.
- DO download slide decks and large files ahead of the event.
- DO remember to bring power adapters!
Shipping information (needs update)
Shipping Instructions
The venue will accept shipments for storage starting 11:00 on Monday, 7 September. Shipping instructions must be followed and labeling must be correct for shipments to be received and properly stored. There is no post-event storage. Free storage is available starting 11:00 on 7 September, and must be received during business hours (11:00 to 15:00). If your shipments after 15:00 on 14 September, we will do our best to get your shipment to you as soon as possible onsite but delivery time cannot be guaranteed for late shipments and all shipment costs are the responsibility of the sponsor.

If shipping to a hotel, we recommend checking with your hotel first regarding their specific shipping policies as they can vary by location. The shipping instructions provided are only for the event venue.

Label each package clearly with:
- Name of your company (company name always listed first) and booth number
- Correct address based on package size
- Number of item out of total number of Items (eg: 1 of 6)
This should be printed in large print (point size 28 or larger) on an A4 piece of paper and stuck on every individual box being delivered. Please see and use the provided template. This template label would fulfill this requirement if completed.
Where items are being mailed from overseas, it is vital that your company name is listed first and not the Hotel, to prevent delays clearing through customs. The venue itself cannot pay or accept any duties or taxes due as a result of importation. Failure to ensure paperwork is correct, will delay delivery and clearance through customs.
Once shipped, fill out the Shipping Tracking Form so our onsite team can assist if needed.
Reminder: each company is responsible for shipping and tracking their own exhibit materials to and from the conference. We recommend checking that the correct destination address is showing on the mail tracker and checking every couple of days to make sure reasonable progress is made. You can also link your contact info to get automatic updates for any delivery delays or updates.
Provide Tracking Information
Please submit all tracking numbers for your inbound shipments through the Shipping Tracking Form so that we can help ensure your items are delivered to the conference venue and the correct booth. If you do not fill out this form, we will not know to account for your shipments onsite which could result in a delayed delivery to your tabletop.
FILL OUT SHIPPING TRACKING FORM
Reminder: it is the responsibility of the sponsor to track their shipments, even when using third-party vendors. We recommend checking your shipments status information frequently leading up to the event, and contacting your third-party vendor or mail carrier as soon as there are any shipping delays or inconsistent shipping information. Also, we recommend sharing tracking information with your onsite event lead so they have it on hand if needed.
MATERIAL HANDLING, HAND-CARRYING + PRIVATE VEHICLES
Sponsors may carry small, lightweight items into the venue by hand.
Any materials that require the use of wheeled or mechanical equipment, such as dollies or flatbeds, please email Marissa at [email protected].
Onsite Security + Storage
Please do not leave valuable items unattended at your booth at any time. Take valuables such as laptops to your hotel room. Left-behind items after the event will be discarded at the sponsor’s expense.
You may only store items under your booth, there is no onsite storage space please plan accordingly.
Outbound Shipping Instructions + Information
ALL of your outbound shipments need to be packed, labeled, and left on top of your table ready for collection prior to you leaving your booth by 8:30 pm on 14 April 2026. Exhibitors are responsible for scheduling collections for outbound shipments on the following business day (15 April 2026) from 8:00 am – 5:00 pm. Any items you intend to dispose of, leave them on the floor and in unsealed boxes so they are clearly distinguishable.
Please note that if your outbound shipments are not collected within this timeframe, then regretfully, the venue may have to dispose of them, unless alternative arrangements have been confirmed in writing in advance. All charges associated with this disposal after 14 April will be fully chargeable to YOU. If you have any shipping issues or concerns, please email Marissa at [email protected].
