Registration

All sponsors should register here as a “Sponsor” using the sponsor code that was emailed to you in the Discount Code field.

You receive a number of complimentary in-person sponsor passes with your sponsorship. Accepted speakers will have their own complimentary speaker pass and registration instructions.

  • Registration badge will be required for sponsor set up
    • It’s recommended to come before 8:40 am or after 9:00 am, as we anticipate a registration line prior to keynotes kicking off.
  • Booth must be fully set by 10:15 am, 15 minutes before booth opening hours. If keynotes end early, the showcase will open early.

LEADER DELIVERABLES

Speaking Opportunity: Leader sponsors receive a 5-minute keynote speaking opportunity and a 15-minute breakout session. Please see the speaking opportunity tab for more information.

Logo Recognition: Logo placement on pre-event marketing: website, emails, and social.

Social Media: From the FINOS X handles. 2 shared pre-event mentions + 2 shared thank you posts (1 day-of event and 1 post-event) + 1 repost. Repost to be approved by FINOS.

Access to Opt-In Attendee Registration List: List may be used for marketing purposes, and will include attendee contact information (with name, email address, company name, and title) of opt-in attendees. This list will be shared approximately 1 week before and 1 week after the event for your team’s internal use. Your list will only be shared within the timeframe communicated.

Collateral (optional):
In addition to what you give away at your table, sponsors may provide (1) giveaway item/swag for attendees at the event to be set out on a table near registration for attendees. Collateral can be hand carried or shipped to the venue, but must be dropped off at registration by booth staff. Examples include T-shirts, bouncy balls, pens, chargers, plush toys, etc. Please review the rules and regulations:

  • It is NOT permitted to use the conference logo and branding and/or Linux Foundation and FINOS logos and artwork on any swag or giveaways that are produced and/or distributed by sponsors. Examples include t-shirts, hats or other apparel, stickers, digital assets, and any other branded items whether offered for sale or as free giveaways. FINOS reserves the right to restrict the distribution of any unauthorized items before, during, and after the event.
  • Sponsors may not distribute branded lanyards as giveaways to attendees, however, sponsor booth staff may wear their own company-branded lanyards at the event.
  • It is not permitted to bring in outside food or beverage as giveaways, especially items that may contain nuts (e.g. chocolate, candy, granola bars).

Speaking Opportunity

Leader and Contributor sponsors receive a speaking opportunity.

Accepted speakers will receive a complimentary Speaker Pass, providing free access to the conference. Speakers will receive a separate speaker registration code in their acceptance notification email. Here is the speaker guide for additional speaker related information.

  1. All speaking opportunities must meet CFP requirements and are subject to approval by The Linux Foundation, FINOS and/or the event Program Committee. 
  2. Sales and marketing pitches are prohibited.
  3. The Linux Foundation is committed to a diverse and inclusive community. To this end, all talks/sessions with more than one speaker are required to include at least one woman or gender non-confirming participant. All-male panels will not be accepted.
  4. The Linux Foundation is dedicated to providing a harassment-free experience for participants at all of our events. We encourage all submitters to review our complete Code of Conduct.

Tabletop Displays

Leader and Contributor sponsors receive:

  • (1) 6 ft x 30 in table with drape
  • (1) tabletop sign with sponsor logo
  • (2) chairs
  • (1) power strip
  • (1) lead retrieval license
  • Shared conference wifi

You may bring custom tablecloths, pop-up banners, small backwall, or anything that fits within your 6ft (width) x 4 ft (length) footprint and is max 8ft in height. Storage Onsite: Please store your empty boxes underneath your tabletop exhibit.

Monitor Orders

Wanting to order a monitor? please complete the upgrade order form no later than Monday, March 16. Payment is to be made directly to the LF Foundation only. For any monitor orders, 1 HDMI cable per monitor will be provided. Make sure to have adapters and the original image/video data on hand as that will be requested to assist with troubleshooting any onsite issues.

Hardline Internet and Power

Each booth package includes access to conference Wi-Fi shared with attendees and exhibitors, as well as standard 5 amps of power provided. If running technical demos, we strongly recommend hardline internet.

Shipping

Shipping Instructions

The venue will accept shipments for storage starting 8:00 on Monday, 6 April. Shipping instructions must be followed and labeling must be correct for shipments to be received and properly stored. There is no post-event storage. Free storage is only available for six business days before the event, and must be received during business hours (8:00 to 17:00). If your shipments after 17:00 on 13 April, we will do our best to get your shipment to you as soon as possible onsite but delivery time cannot be guaranteed for late shipments and all shipment costs are the responsibility of the sponsor.

If shipping to a hotel, we recommend checking with your hotel first regarding their specific shipping policies as they can vary by location. The shipping instructions provided are only for the event venue.

Label each package clearly with:

  • Name of your company (company name always listed first) and booth number
  • Attention
  • Address
  • Number of item out of total number of Items (eg: 1 of 6) 

This should be printed in large print (point size 28 or larger) on an A4 piece of paper and stuck on every individual box being delivered. Please see and use the provided template. This template label would fulfill this requirement if completed. 

Where items are being couriered from overseas, it is vital that your company name is listed first and not the Hotel, to prevent delays clearing through customs. The venue itself cannot pay or accept any duties or taxes due as a result of importation. Failure to ensure paperwork is correct, will delay delivery and clearance through customs.

Reminder: each company is responsible for shipping and tracking their own exhibit materials to and from the conference. We recommend checking that the correct destination address is showing on the mail tracker and checking every couple of days to make sure reasonable progress is made. You can also link your contact info to get automatic updates for any delivery delays or updates. 

Provide Tracking Information

Please submit all tracking numbers for your inbound shipments through the Shipping Tracking Form so that we can help ensure your items are delivered to the conference venue and the correct booth. If you do not fill out this form, we will not know to account for your shipments onsite which could result in a delayed delivery to your tabletop.

FILL OUT SHIPPING TRACKING FORM

Reminder: it is the responsibility of the sponsor to track their shipments, even when using third-party vendors. We recommend checking your shipments status information frequently leading up to the event, and contacting your third-party vendor or mail carrier as soon as  there are any shipping delays or inconsistent shipping information. Also, we recommend sharing tracking information with your onsite event lead so they have it on hand if needed. 

Material Handling, Hand-Carrying + Private Vehicles

Sponsors may carry small, lightweight items into the venue by hand. Friendly reminder, no onsite storage space please plan accordingly.

Any materials that require the use of wheeled or mechanical equipment, such as dollies or flatbeds, please email Marissa at mnino@linuxfoundation.org.

Outbound Shipping Instruction + Information

ALL of your outbound shipments need to be packed, labeled, and left on top of your table ready for collection prior to you leaving your booth by 19:30 on 14 April 2026. Exhibitors are responsible for scheduling collections for outbound shipments on the following business day (15 April 2026) from 8:00 – 17:00. Any items you intend to dispose of, leave them on the floor and in unsealed boxes so they are clearly distinguishable. 

Please note that if your outbound shipments are not collected within this timeframe, then regretfully, the venue may have to dispose of them, unless alternative arrangements have been confirmed in writing in advance. All charges associated with this disposal after 14 April will be fully chargeable to YOU. If you have any shipping issues or concerns, please email Marissa at mnino@linuxfoundation.org.

Storage

Sponsor storage will not be available for this event. You must store all items in your booth space or in your hotel room.

Any left-behind items may be discarded at the sponsor’s expense.

Please do not leave valuable items in this room or unattended at your booth. Please take valuables such as laptops to your hotel room or visit the exhibitor services desk if you have any questions about storing items elsewhere overnight. Neither The Linux Foundation, The Conference Centre at the University of Toronto, nor their employees, staff, or third-party vendors will be held liable for lost or stolen items.    

Lead Retrieval

Lead retrieval is offered to Leader and Contributor sponsors exhibiting onsite.

Our onsite lead retrieval provider is Expogenie Lead Scanning. When lead retrieval set up is live (approximately 2 weeks prior to the event), sponsors will receive an email.

Each sponsor receives (1) license with their sponsorship for collecting attendee contact information at your onsite booth. App only, no physical device provided.

Lead Retrieval Rules + Regulations

  • Lead retrieval devices may be used to scan attendee badges within your exhibit booth ONLY. Scanning attendee badges in aisles, lounges, or anywhere outside of your booth is not permitted. If lead retrieval devices are used outside of a sponsor’s booth, FINOS reserves the right to remove all leads scanned for that day.
  • All attendees must verbally consent prior to scanning their name badge.
  • Adhere to our onsite health + safety guidelines in the exhibit hall. It is each sponsor’s responsibility to manage crowds in their booth and adjacent aisles.
  • Phone numbers are NOT included on lead retrieval lists.

Lead Retrieval Options

Please submit your choice of lead retrieval via the Sponsor Google Form. You may choose from the following options:

Option 1: Mobile App Only

Select this option if you don’t want to receive the physical lead retrieval device(s) that are included in your sponsorship and will use the Expogenie Lead Scanning app on your own personal devices only. You will activate the provided license on your own mobile iOS or Android device(s). Requires iOS 14.1 or later or Android 8.0 or later.

Option 2: No Lead Retrieval

Select this option if you don’t want to collect leads onsite and won’t use the lead retrieval devices or app.

Expo-Genie lead scanning is our official lead retrieval provider. Your appointed Sponsor Admin will be receiving an email invite from ExpoGenie Lead Scanning (no-reply@expo-genie.com) approximately 2 weeks before the event.

Once you are logged in, you will be able to: 

  • Add your Staff, giving them their own log-in so they can scan leads at the event.
    • Staff will only see the leads they’ve scanned. 
    • You may add as many Staff and download the app as many times as you require at no additional cost. 
  • Add custom qualifiers
  • Export your lead reports. All leads will go to one lead report.

Please follow the steps below to set up your lead scanning, add booth staff, and scan leads.

Set Up your Lead Campaign for this Event
A lead campaign is a specific area of the event you are scanning leads for. You have (1) booth, so you will create (1) lead campaign. 

  1. Use the login information provided in the initial ExpoGenie email to login into the Lead Retrieval platform.
  2. From the left menu, click Lead Campaigns. You will see a campaign for your event. Click Edit.
  3. First section is Event Selection.
    1. Confirm the event that you want to scan badges for is listed. 
    2. Click Next.
  4. Second section is Lead Data Fields.
    1. Review the preset attendee data points that will be provided to you upon the scan, determined by the event organizer (See above for included fields). 
    2. Click Next. 
  5. Third section is the Lead Qualification Form.
    1. Here is where you can create custom qualifiers or use the ones provided for you. These are questions that you’d like your onsite team to answer after scanning the attendee’s badge, or interaction with an attendee at the booth.
      1. Make sure each question you want to ask is toggled to enabled! Make sure to click publish on the last page to confirm any updates you make.
      2. For privacy reasons, phone numbers will NOT be included in the leads reports. If you wish to record attendees’ phone numbers, feel free to ask them for this information and add that question here.
      3. “Notes” are automatically enabled by default here. 
    2. Once done, click Next for any edits to be saved. 
  6. Fourth section is Booth Staff.
    1. Add and assign booth staff who will be scanning leads at your booth.
      1. Supervisors can see ALL scans for the campaign. Booth Personnel can only see and download their own scans. 
      2. If the Sponsor Admin will also be scanning onsite for leads, make sure you are added under booth staff with Supervisor access. 
      3. If you are adding a new Booth Personnel contact, please make sure to toggle on the Welcome Email. They will also receive a notification email that they have been added to the event campaign.
    2. Click Save changes. Your team is now ready to scan leads! 

Mobile App for Download

Please note you will need to use the lead scanning app on your own device and devices are not provided at this event. In addition, your booth staff may download the app to their own mobile devices and use it to scan attendee badges free of charge:

Lead Report Data

The following attendee information will be included in the lead report: 

  • First name
  • Last name
  • Job title
  • Company name
  • Email address
  • Physical address incl. country, city, state, zip code/postal code
  • Job function
  • Industry

No Phone Numbers
For privacy reasons, phone numbers will NOT be included in the lead reports. If you wish to record attendees’ phone numbers, feel free to ask them for this information and add it manually as a note for each lead or create a custom question for this purpose.

GDPR + Data Privacy

All Linux Foundation events are fully GDPR compliant. By registering and attending this event, all participants agree to the Linux Foundation’s Privacy Policy, which includes the following language:

In order to facilitate networking and business relationships at the event, you may choose to visit a third party’s booth or virtual booth or to access sponsored content. You are never required to visit third party booths or to access sponsored content. When visiting a booth (e.g. by clicking on a third party’s logo in the exhibit hall or exhibitor directory, and any actions within the booth thereafter including viewing resources), accessing swag or virtual swag provided by sponsors, or by participating in sponsored activities, the third party will receive some of your registration data. This data includes your first name, last name, title, company, address, email, standard demographics questions (i.e. job function, industry), and details about the sponsored content or resources you interacted with. If you choose to interact with a booth or virtual booth or access sponsored content, you are explicitly consenting to receipt and use of such data by the third-party recipients, which will be subject to their own privacy policies.
