Any content needed for a sponsor’s deliverable to be fulfilled will have an applicable google form for submission. The deliverable specific google form must be completed for that deliverable to be fulfilled. If you have any issue assessing a google form or submitting anything through google forms, please let Marissa know at [email protected].

- Deadline for monitor and furniture upgrades orders via upgrade order form.
- Please submit your graphics via the graphic submission google form and it is the sponsor’s responsibility to follow provided guidelines. Not following artwork guidelines can result in delayed graphics and surcharges. Email Marissa at [email protected] asap if you have any issues submitting artwork via the google form.

- If you are ordering any furniture with graphics, for example counters, graphics are also due at this time. Please submit your graphics via the graphic submission google form and it is the sponsor’s responsibility to follow provided guidelines. Not following artwork guidelines can result in delayed graphics and surcharges. Email Marissa at [email protected] asap if you have any issues submitting artwork via the google form.
2 September
- Optional: provide scheduled post or time scheduled content for reshare will be posted and ready to be reposted by AAIF X handle.

- Outbound shipment collections must be arranged with KSA before leaving.
- If applicable, it is recommended at the latest by 11:00 on 11 September onsite booth staff check in with event lead regarding outbound shipment arrangements. KSA will be onsite if needing any last minute arrangements. No post event storage at the venue. Any items you want to keep exhibitors will need to take with them, arrange a same day 11 September courier, or have KSA manage material handling.

DIAMOND Deliverables
Access to Pre-Event Opt-In Attendee Registration List: List may be used for marketing purposes, and will include attendee contact information (with email address) of opt-in attendees. Lists will be sent approximately 1 week before the event.
Speaking Opportunity: Diamond sponsors receive a 10-minute keynote or a breakout session speaking opportunity. Speaker guide with additional information. Please send over required content and email the content manager Carolyn Ingalls with any speaking related questions at [email protected].
Sponsored Session Attendee List: If breakout session is selected, the opt-in sponsored session attendee list will be shared approximately 1 week after the event for your own outreach, if the sponsored breakout session is selected as a speaking opportunity and sponsor requirements are met. Not available for keynote session.
Promotion of Activity in Sponsor Booth: 2 in-booth activities (session, demo, giveaway or other activity of your choosing) will be published and promoted on the conference schedule. Time slots will be communicated by LF Sponsor Services and may not overlap conference sessions.
Social Media Promotion: 1 custom post, 1 group post, and 1 re-share from the Agentic AI Foundation X (Twitter) account. Please confirm the X handle you would like tagged on the group post.
Access to Event Press/Event Analyst List: The contact list will be shared approximately 1 week prior to the event for your own outreach.

Exhibit information
You can view below what is included in your booth space and available upgrade options. Additional information can be found on the Rules and Regulations section. After reviewing, If you have any questions please email Marissa at [email protected].
Exhibit booth spaces includes:
- (1) W1800mm x D450mm x H700mm table with non branded tablecloth
- (1) Tabletop Sign with Logo
- (2) Tabletop chairs
- Standard power drop of 5 amps and (1) Power Strip
- Shared conference wifi with exhibitors and attendees
You may bring custom tablecloths, pop-up banners or back walls (must be self assembled by booth staff and not require power tools), or anything that fits within your 2M (width) x 2M (length) footprint and is 2.5M max or under in height. The only furniture allowed is upgrade options purchased through the venue. Booth items and marketing materials may not extend outside your footprint. Subject to LF Event Team approval.

Storage Onsite: Please store your empty boxes underneath your tabletop exhibit. There is no provided storage onsite.
Sponsors have upgrade options available. All upgrade options are at the expense of the sponsor. Payment for this event will be made directly to the LF Foundation after the event upon receipt of the venue’s final invoice. Prices can be found on the upgrade order form.
Please note that all pricing provided is an estimate. Although we have made every effort to include anticipated costs, the venue can only determine final pricing after the event. Monitor Upgrades
Wanting to order a monitor? Please complete the upgrade order form no later than Monday, 17 August. It is recommended sponsors order a max total of 2 monitors, one tabletop and/or one floor stand monitor. Prices can be found on the upgrade order form.
Monitors are equipped with both HDMI and USB inputs. HDMI cables will be provided.

Exhibitors planning to display presentation materials are encouraged to bring a laptop to ensure maximum compatibility and flexibility during the event. It is also recommended to have large files predownloaded and bring your own adapters.

Furniture Upgrades
Sponsors have the opportunity to upgrade their tabletop to be replaced with a counter or hightop. Please note: if upgrading to replace tabletop with counter or hightop, high chairs will also need to be ordered as well to replace tabletop chairs.
Diamond and platinum sponsors: may upgrade to 900 mm and 1.5M counter
Gold, startup and local sponsors: may upgrade to only 900 mm counter

Hardline Internet and Upgrade Power
Each booth package includes access to conference Wi-Fi shared with attendees and exhibitors, as well as standard power (5 amps) provided for multiple devices. If running technical demos, we strongly recommend hardline internet. Hardline internet purchased through the venue is the only permitted internet alternative.

Tech Best Practices
- DO purchase a wired connection if your booth is planning a demo or other internet-dependent activity.
- Do NOT bring outside equipment that requires power (outside of personal devices such as cell phones and laptops) into the venue.
- Do NOT bring audio devices or order speakers. Speakers are not allowed, and general exhibitor noise level cannot exceed 50 decibels. If noise level is disruptive in any way, CNCF and the Linux Foundation reserve the right to request for adjustments to be made.
- Do NOT play videos on loop with audio.
- Do NOT channel bond. Use the 2.4 GHz channel. If using the 5 GHz channel, it should be on 20 MHz wide.
- Do NOT use Wi-Fi hotspots, and avoid setting up your own network in the Solutions Showcase. These are unlikely to function well and will slow wireless down for everyone else.
- Do NOT use Chromecasts, Apple TV, or similar wireless casting/networked AV devices.
- DO bring any HDMI, Ethernet, or other required adapters for your laptop or other playback devices.
- DO download slide decks and large files ahead of the event.
- DO remember to bring power adapters!
Lead retrieval information
Our onsite lead retrieval provider will be announced by end of August.
Each sponsor receives (1) unlimited license with their sponsorship for collecting attendee contact information at your onsite booth. Lead retrieval license with ExpoGenie is unlimited and can be used simultaneously across multiple personal devices. If you would like to rent an additional physical device, email Marissa Nino at [email protected] for a quote.
Lead Retrieval Rules + Regulations
- Lead retrieval devices may be used to scan attendee badges within your exhibit booth ONLY. Scanning attendee badges in aisles, lounges, or anywhere outside of your booth is not permitted. If lead retrieval devices are used outside of a sponsor’s booth, LF reserves the right to remove all leads scanned for that day.
- All attendees must verbally consent prior to scanning their name badge.
- Adhere to our onsite health + safety guidelines in the exhibit hall. It is each sponsor’s responsibility to manage crowds in their booth and adjacent aisles.
- Handle your lead retrieval device(s) with care and do not leave any device(s) unattended at your booth. A replacement fee of $1,500 USD will be assessed for any lost, damaged, or stolen device.
- For privacy reasons, phone numbers will NOT be included in any lead reports. You will only receive the names and attendee lead report data listed above for leads you’ve scanned at your booth with consent of event attendees. If you wish to record attendees’ phone numbers, feel free to ask them for this information and add it manually to the notes field for each lead or you may create a custom question for this purpose.

- Physical address incl. country, city, state, zip code/postal code

No Phone Numbers
For privacy reasons, phone numbers will NOT be included in the lead reports. If you wish to record attendees’ phone numbers, feel free to ask them for this information and add it manually as a note for each lead or create a custom question for this purpose.
GDPR + Data Privacy
All Linux Foundation events are fully GDPR compliant. By registering and attending this event, all participants agree to the Linux Foundation’s Privacy Policy, which includes the following language:
In order to facilitate networking and business relationships at the event, you may choose to visit a third party’s booth or virtual booth or to access sponsored content. You are never required to visit third party booths or to access sponsored content. When visiting a booth (e.g. by clicking on a third party’s logo in the exhibit hall or exhibitor directory, and any actions within the booth thereafter including viewing resources), accessing swag or virtual swag provided by sponsors, or by participating in sponsored activities, the third party will receive some of your registration data. This data includes your first name, last name, title, company, address, email, standard demographics questions (i.e. job function, industry), and details about the sponsored content or resources you interacted with. If you choose to interact with a booth or virtual booth or access sponsored content, you are explicitly consenting to receipt and use of such data by the third-party recipients, which will be subject to their own privacy policies.
Shipping information
Shipping Instructions
Each company is responsible for shipping and tracking their own exhibit materials to and from the conference. If you plan to ship items for your booth, please read the shipping and material handling instructions carefully as documentation and payment is required prior to delivery.
There will be an advance warehouse for both domestic and international shipping with KSA. All sponsors shipping items must send them to KSA advance warehouse and make arrangements for material handling to booth. No shipments will be received if sent direct to venue.
Please note: you always have the option to hand carry items or ship to your hotel. If shipping to a hotel, we recommend checking with your hotel first regarding their specific shipping policies as they can vary by location. The shipping instructions provided are only for the advance warehouse
Advance Warehouse Shipping Information
Each company is responsible for shipping and tracking their own exhibit materials to and from the conference. If you plan to ship items for your booth, please read the KSA Shipping Manual carefully as proper documentation and payment is required prior to making any shipping arrangements, especially if shipping internationally.
KSA must be contacted for every separate shipment sent out, even if you are not using them as a mail carrier. Once you’ve reached out, KSA will provide you directly with the address to the advance warehouse. Inbound shipments to the advance warehouse may be received as early as 10 August. The venue is not directly receiving shipments, so you must ship to the advance warehouse. Any missed steps may result in late delivery or displaced packages. KSA won’t be able to receive your packages at the advance warehouse and assist if they aren’t aware of your shipments.

Inbound Shipments to Advance Warehouse
Sponsors shipping domestic or international (as well as using couriers) must email KSA at [email protected] with inbound shipping information, and once confirmed, KSA will provide the address to the advance warehouse and request any needed documentation.
Shipping Tracking Form for Sponsor Team
We recommend printing shipping labels in color for quick and easy identification for KSA International internal use. Please provide as much information as possible on the labels, this will assist KSA and LF Sponsor team for a smooth shipping process.

Note: For those shipping domestically, you can ship to KSA’s Advance Warehouse with any shipper you prefer and then KSA will transport shipment(s) to the venue. Either way, we must be provided with all the package details (carrier/courier, tracking number, number of shipments, etc.) so we can work with KSA and follow up as needed. Provide Tracking Information
Along with completing proper documentation for KSA, please submit all tracking numbers for your shipments via the form below so that we can ensure that your items are delivered to the conference venue. The more information you provide this will help our team and KSA in any necessary tracking.

Outbound Shipping Instructions + Information
We advise making both inbound and outbound shipping arrangements at once. Please read the KSA Shipping Manual and provide KSA with proper documentation and payment prior to making any shipping arrangements, inbound or outbound. Approval must be received by KSA before any items are shipped.
All outbound shipping must be coordinated with KSA and must be advised 48 hours in advance. Individuals are responsible for repacking, affixing labels. Therefore, your booth materials need to be packed, labeled, and set on top of your table ready for KSA to pick up when you leave your booth. There is no post-event storage at the venue. Any items left on the floor and/or unlabeled will be thrown away.
ALL booth materials must be removed from the conference venue by 11 September at 18:00. Any shipment/courier pick ups will need to be prearranged for Solutions Showcase dismantling hours and booth staff will need to hand off. No post event storage at the venue. Any items you want to keep exhibitors will need to take with them, arrange a same day 11 September courier, or have KSA manage material handling.

Onsite Security + Storage
Please do not leave valuable items unattended at your booth. Take valuables such as laptops to your hotel room overnight. Any left-behind items after 11 September will be discarded at the sponsor’s expense.
Neither the Linux Foundation, the venue, staff, or third-party vendors will be held liable for lost or stolen items.
Hand-Carrying
Sponsors may carry small, lightweight items into the venue by hand. Any materials that require the use of wheeled or mechanical equipment, such as dollies or flatbeds, must be delivered via the loading docks and are prohibited in the venue lobbies or hallways. We are happy to extend the opportunity to participate in one of the benefits of sponsoring AGNTCon + MCPCon Japan 2026 – our media and analyst news package.
The news package is a compilation of sponsor announcements that are being launched at the event (September 10-11). This is a great opportunity to promote your press releases or blog posts to media and analysts ahead of the conference. This benefit is available to all event sponsors.
We will include your submitted news in a pre-event email under embargo to attending media and analysts. We only send the news package to media and analysts, not to attending sponsors and members, and we will not publish your news anywhere. Should you wish to publish your announcement, kindly note that you will need to handle it independently.
One important note: If you’d like your announcement shared with Japanese media, please include a Japanese-language version with your submission. AAIF will not provide translations, and reporters will receive the announcement exactly as it’s submitted.

If any of these items are missing, we will not be able to include your release in the news package. We cannot accept news that is published more than 2 weeks before the event.

Rules and regulations
To ensure a safe and enjoyable event experience for all attendees and sponsors, please adhere to the following rules and regulations. This list is not exhaustive. Please read ALL applicable sections in this sponsor guide carefully to familiarize yourself with additional guidelines specific to your sponsorship benefits and deliverables. Code of Conduct
The Linux Foundation and AAIF are dedicated to providing a harassment-free experience for participants at all of our events. All participants are expected to behave in accordance with our Code of Conduct. Sponsors must not use sexualized images, videos, activities, giveaways, or other material, or otherwise create a sexualized environment.
The Linux Foundation and AAIF reserve the right to remove anyone from the event if it is determined that their participation or behavior creates a disruption or hinders the event or the enjoyment of the event by other attendees.
Livestreaming + Rebroadcasting
It is prohibited to record, copy, reproduce, live stream, rebroadcast, or otherwise distribute recordings, live streams, or broadcasts of events hosted by The Linux Foundation. Sponsors must first obtain the express written permission by Marissa at [email protected].
Photography + Videography
Sponsors are welcome to take pictures and videos within their designated booth space, but not outside of the booth space. Please keep aisles clear of any equipment, ensuring they do not disturb neighboring booths or attendees. When taking pictures or videos of attendees inside the booth space, it is essential to get the approval of the participants first and to disclose the use of the photos or video to them. A photo or video release form for participants is recommended, especially if the footage will be used for commercial or promotional purposes. Sponsors are responsible for familiarizing themselves with and adhering to local regulations regarding professional photography and videography.
Sponsors must email Marissa at [email protected] if they have planned any extensive photography or videography projects.
Sponsor Branding + Activities
All sponsor activities, branding, promotional items, and collateral must be confined within each sponsor’s booth space and are prohibited anywhere outside of the booth (without prior authorization from Marissa at [email protected]) including other areas within the Solutions Showcase, the conference venue, all host hotels, offsite event venues, and any nearby public spaces within a one-mile radius of the event venue, all host hotels, and offsite event venues. Examples include business cards, flyers, or collateral left on tables or in seating areas, floor clings or markings, soliciting business outside of designated booth spaces, or promotional activities near the venue or host hotels.
Nothing may be taped, nailed, stapled, tacked, or otherwise affixed to any walls, ceilings, flooring, painted surfaces, fire sprinklers, columns, fabric, walls or podiums without prior authorization from Marissa at [email protected]. This includes all surfaces throughout the Belle Salle Shibuya Garden, not just in the exhibit halls and on event property (such as event signage). The Linux Foundation reserves the right to restrict and/or remove any sponsored activities, branding, promotional items, and collateral outside of designated booth spaces at the sponsor’s own expense. Any damages incurred will be expensed to the sponsor.
Sponsor Booth setups
Sponsors may bring custom tablecloths, pop-up banners and pop-up backwalls. Any pop up items must be self assembled by booth staff in less than an hour and not require power tools. No outside vendors or custom builds allowed. All booth items must fits within the sponsor’s booth space (length, width, and height). Materials may not go outside your footprint.

Lead Retrieval Rules + Regulations
- Lead retrieval may be used to scan attendee badges within your exhibit booth ONLY. Scanning attendee badges in aisles, lounges or anywhere outside of the Solutions Showcase is not permitted. If a sponsor’s lead retrieval device(s) are used outside of a sponsor’s booth, The Linux Foundation reserves the right to delete the sponsors’ scanned leads and to exclude the sponsor from lead retrieval at future events.
- Only designated event staff by the Linux Foundation can scan for leads at a sponsored breakout session if you opt for this deliverable. Please note if your sponsored breakout session is cancelled or your speaker is a no show there will be no lead gathering for your sponsored breakout session.
- All attendees must verbally consent prior to scanning their name badge.
- Adhere to our onsite health + safety guidelines in the Solutions Showcase. It is each sponsor’s responsibility to manage crowds in their booth and adjacent aisles.
- All Linux Foundation events are fully GDPR compliant. For privacy reasons, phone numbers will NOT be included on any lead reports or attendee lists.
Opt-In Registration Attendee List
Based on sponsorship level and as noted on your sponsorship contract, certain sponsors have the opportunity to receive an opt-in registration attendee list. Only eligible sponsors and main sponsor contacts on file will receive applicable list(s) as noted on their contract. List will only be shared within the timeframe communicated for internal use.
If you are an eligible sponsor, the full opt-in registration attendee list (pre and/or post) will only come from Marissa at [email protected]. The full opt-in registration attendee list is part of high-level sponsorship packages as noted on contracts, and there is nothing that can be bought by anyone. If you receive any communications from anyone claiming to be affiliated with LF Foundation, AAIF or any outside parties selling (“giving”) any sort of attendee list (pre or post event), please do not click on any embedded links or respond to these emails. Forward suspicious emails to Marissa at [email protected] and mark as spam.
Food and Beverages
Sponsors may order additional food and beverages to be served from their booth. However, please keep in mind that all buffet tables, equipment, service personnel, etc. must fit within your booth space. No items may be placed in the adjacent aisles or booths. The venue is the exclusive caterer for this event. No outside food or beverages are allowed inside the venue without written approval from Marissa at [email protected].
To accommodate attendees with severe nut allergies, we strive to create a nut-free environment at our event. We will not serve food or drinks containing peanuts, and sponsors cannot provide giveaways that have nuts. We also ask that you refrain from providing giveaways that may contain nuts (e.g. popular chocolate bars and candy such as Snickers, Peanut M&Ms, Reese’s, etc. are prohibited). Any unauthorized will be requested for immediate removal or discarded.

Suitcasing or Outboarding
“Suitcasing” is the practice of participating in an event as an attendee and using that attendee access to solicit business from other attendees, exhibitors, or event participants.
“Outboarding” is the practice of setting up events, activities, exhibitions, or a booth in the event venue or its vicinity (e.g., in a hotel room, lounge, or meeting space, or at a nearby business) without authorization.
In both cases, the effect is to take the benefits of being a sponsor or exhibitor without having paid the fees and to undermine the structures of the event around sponsorship and exhibition. Any attendees suitcasing or outboarding may have their access to the event revoked and may be barred from participating in future events. If you see a party suitcasing or outboarding at the event, please report it to the LF events team at the registration desk.
Drug Policy
Use of recreational drugs, including all DEA-scheduled drugs (without a prescription) and all cannabinoids, is not permitted at the event. Such drugs are also not permitted as part of any giveaway or promotion at the event.
Firearms
The Linux Foundation does not allow firearms, regardless of whether they are permitted or not, or whether they are concealed or not, to be brought into AGNTCon + MCPCon Japan 2026.
