Deliverables

Message in Event Networking Channel:
Diamond, Platinum, and Gold members have the opportunity to reach out to attendees with a customized 50-word message that the events team will send out at a designated time in the CNCF Slack channel. Messages may include a call to action, e.g. directing attendees to a conference session or link to an external website.

Speaking Opportunity:
Diamond sponsors receive a 5-minute keynote speaking opportunity. Please see the speaking opportunity tab for more information.

Recognition in Opening Session:
Diamond and Platinum sponsors will be recognized during the opening session verbally and with their logo on a “thank you to our sponsors” slide.

Email to Opt-In Attendees
Diamond sponsors have the opportunity to send (1) exclusive pre-conference or post-conference email to attendees who opted in to receive sponsored content. Dates are reserved on a first come first serve basis. Send your content and your preferred send-out date to your event lead (Christie Davis or Ashlee Carlson) by April 26th. CNCF will send emails on a conference branded email template on behalf of the sponsor. Attendee contact details will not be shared.

Pre-conference emails will be sent out: Monday, May 9 – Friday, May 13.
Post-conference emails will be sent out: Monday, May 23 – Friday, May 27.

Emails can thank attendees, promote a session, encourage attendees to download marketing materials, visit your booth, visit your website, contact you, etc.

Social Media Mentions From CNCF or Project Handle:
CNCF will create and post the content for social media mentions.

Diamond: 1 group mention with other diamond sponsors
Platinum: 1 group mention with platinum and gold sponsors

Mobile Schedule Branding:
Diamond, Platinum, and Gold sponsors will have their company logo and link displayed on the mobile schedule on Sched.com.

Recognition On Event Website and Event Signage:
Diamond, Platinum, and Gold sponsors will have their logo displayed on the event website and on in-person event signage.

Recognition in Pre-Event and Post-Event Attendee Communication
Diamond, Platinum, and Gold sponsors will be recognized in pre-event and post-event attendee communication with their company logo and URL.

Conference Attendee Passes: 
Sponsors receive a number of full-access passes to the co-located event based on sponsorship level. Please note: Registration and payment for KubeCon + CloudNativeCon are required to attend the event.

Attendee Giveaway:
Sponsors may provide a giveaway for attendees at the event. Sponsors may set out the giveaway on the chairs in the session room the evening before the event. Otherwise, giveaways will be set out on a table in the back of the session room. Further details will be provided in the coming weeks.

Giveaway items must be approved by CNCF before the event. Shipment tracking information must be received by May 13th. Please provide information on this form.

Speaking Opportunity

Shipping Instructions

Each company is responsible for shipping and tracking their own exhibit materials to and from the conference. If you plan to ship items for your tabletop display (Diamond) or for the swag table, please read the shipping and material handling instructions on this page carefully as documentation and payment will be required prior to delivery.  

The official logistic service providers for this event are Moldtrans (for shipments within the European Union that don’t require an importer/exporter of records) and RESA Expo Logistics (for all shipments that require an importer/exporter of records).

Inbound Shipments

Please DO NOT ship to the conference venue directly. The venue does not receive, custom clear or store any shipments. Our logistics provider for this event is Moldtrans. Their warehouse is located at Feria Valencia. Moldtrans will receive, store and deliver your shipments directly to the co-located events section before or during move-in hours. Handling fees apply for all inbound or outbound shipments. Please see the handling tariffs above or contact Moldtrans for a custom quote.

Shipping to Moldtrans

Ship to Moldtrans if your shipments are from within the European Union and don’t need to clear customs. 
For all other shipments, you may need a Spanish importer of records. Moldtrans cannot act as an importer of records. Please see the instructions for RESA Expo Logistics below.

BEFORE YOU SHIP YOUR ITEMS:

1. Read Moldtrans’ shipping instructions carefully and review the handling fees

2. Ship early! Plan for potential shipping and customs delays. All shipments must arrive at Moldtrans’ warehouse no later than May 4 to guarantee on-time delivery to your booth. 

3. Fill out Moldtrans’ service order form. Send the completed form to ferias.vlc@moldtrans.com. The completed form MUST be received before your shipment arrives at Moldtrans’ warehouse.

4. If you are shipping from outside the European Union, please follow the customs clearance instructions in the shipping manual. We recommend using Moldtrans’ proforma invoice template for your shipment. If you need assistance with customs forms, please contact Moldtrans at feriasvlc@moldtrans.com. Moldtrans’ staff is happy to answer any questions you may have and will make sure the required commercial invoice is filled out correctly. 

5. Download and print Moldtrans’ shipping labels for your boxes. If you can’t use the official shipping labels, please label all shipments clearly with the following address (Note: if you are sponsoring a co-located event and need items delivered to your meeting room, please include “Pavilion 3” on the labels):

Shipping to RESA Expo Logistics

Ship to RESA Expo Logistics if your shipments are from outside the European Union and need to clear customs.
Your shipment will most likely be considered a definitive import by Spanish customs and therefore requires a Spanish importer of records. The importer of records must be a legal entity in Spain and is legally responsible for the import processes, as well as clearing the shipment and paying the taxes and duties. You may work with any customs broker or importer of record of your choice. Our recommendation is RESA Expo Logistics.

All airfreight, road freight, and courier shipments must be received at RESA’s warehouse no later than Tuesday, May 10.  Late shipments may not be delivered in time and will incur additional late fees.

BEFORE YOU SHIP YOUR ITEMS TO RESA:

1. Read RESA’s shipping instructions carefully.

2. Contact RESA at kubecon@resaexpo.com to arrange all required customs paperwork and to obtain the shipping address.

3. Ship early! Plan for potential shipping and customs delays. All shipments must arrive at RESA’s warehouse no later than May 10 to guarantee on-time delivery to your booth.

Outbound Shipments

All outbound shipping must be coordinated with Moldtrans (for shipments within the European Union that don’t require an exporter of records) or RESA Expo Logistics (for shipments that require an exporter of records ). Third-party shipping companies or couriers will not be permitted to enter the venue to deliver or pick up parcels. Only Moldtrans or RESA will be permitted to enter the venue. Outbound shipments may be picked up by third-party couriers at Moldtrans or RESA’s warehouse only. 

Couriers, Deliveries + Pickup

For safety reasons, only approved vendors will be able to access Feria Valencia’s grounds and the event space. Anyone else will be turned away at the main entrance gate. The venue will not accept any direct deliveries. Please DO NOT instruct or schedule any couriers (e.g. UPS, FedEx, DHL) to deliver or pick up parcels to/from your booth as they will not be permitted to access the event space. Any inbound deliveries should be sent to Moldtrans or RESA and they will deliver the items to your booth. Any outbound shipments need to be handled by Moldtrans or RESA. You may either use Moldtrans or RESA’s own outbound shipping services or have them store your outbound shipments at their warehouses and your courier can pick them up at the respective warehouse. 

Material Handling, Hand-Carrying + Private Vehicles

Moldtrans is the exclusive provider of material handling services at Feria Valencia that require the operation of motorized equipment such as forklifts. For any material handling that involves motorized equipment, please review the handling tariff above and contact Moldtrans directly for a custom quote.

Sponsors may carry small items into the venue by hand, however, please keep in mind that it is approx. a 5-minute walk from Feria Valencia’s main entrance gate to the exhibit halls. We do not recommend carrying heavier items by hand. 

Private vehicles are not allowed access to the exhibit hall loading doors and sponsors may not load any items in or out through the loading doors.  

Security + Onsite Storage

Please do not leave valuable items unattended at your tabletop display (diamond sponsors). Please take valuables such as laptops to your hotel room or visit the exhibitor services desk if you have any questions about storing items elsewhere overnight.

Limited storage space will be available for sponsors to store boxes or giveaways during the conference free of charge. A small storage room will be located in Pavilion 3. The storage room will be available throughout the conference starting on Sunday, May 15 during move-in hours. It will be shared by all sponsors on a first come first serve basis. Please visit the co-located events help desk if you need any items stored or retrieved. All items must be removed by Tuesday, May 17 at TBD time. Any left behind items may be discarded at the sponsor’s expense.

Moldtrans offers off-site storage for empty crates, pallets, or larger items at a fee. Please see the Moldtrans Shipping + Handling Tariffs for details and place your order with Moldtrans directly.

Neither CNCF, the Linux Foundation, Feria Valencia, Moldtrans, nor their employees, staff, or third-party vendors will be held liable for lost or stolen items.

TABLETOP DISPLAYS(Diamond only)

Diamond sponsors receive a 6ft x 4ft tabletop display space which includes (1) 6ft table, 2 chairs, (1) 3,3 kw switchboard and (1) triple socket power strip, (1) lead retrieval device, and shared conference wifi. Diamond sponsors may order additional power and AV on the Servis e-commerce site.

To place an additional order:

  1. Visit the Servis e-commerce site
  2. Create an account
  3. Click on “Co-Located Events Exhibitors” under categories. 
  4. Click on your pavilion, room letter, and table number. This information was sent in an email on April 12th. Please email Ashlee or Christie if you need this information re-sent to you.
