Speaker Guide

We are excited to welcome you as a speaker for Open Source Summit Korea 2025, held from November 4 – 5 at the Grand InterContinental Seoul Parnas in Seoul, South Korea.

Your registration serves as confirmation that you will be speaking, and you will need to register by Friday, September 26. Please see your notification for the discount code. Please email cfp@linuxfoundation.org if you need this information sent to you again. 

If you require a visa letter, please register for the event and then complete the visa letter request here.

If you are applying for travel funding and have not submitted your request, please do so as soon as possible. The deadline for travel funding applications is September 29. You can access the form here

This year’s event will take place at the Grand InterContinental Seoul Parnas in Seoul, South Korea.

We have negotiated a discounted rate at a hotels in the area. Please visit our Venue & Travel page for room block information and hotels in the area. Rooms will likely sell out in advance of the room block close date listed for each hotel – we encourage you to book early to secure a room at the conference rate.

The schedule will be announced Thursday, September 18, and will be posted on our website using sched.com.

Please view the schedule for your exact session time. Session times are inclusive of Q&A. Please be mindful of your session timing.

If you have a conflict with the timing of your talk or find that it conflicts with the content of another talk; or are having problems uploading your bio and photo to sched.com, please contact cfp@linuxfoundation.org.

Please note the following technical requirements:

  • All speakers must supply their own computers and adapters to use during their talk.
  • Presentation slides should be formatted in 16:9. 
  • The room will include a screen, projector, and (2) microphones; panelists will each receive their own microphones.
  • If you require any additional AV, please email cfp@linuxfoundation.org with those needs by Friday, October 3. The Linux Foundation will make every effort to accommodate additional AV needs; however, final approval for additional AV requests will be made on a case-by-case basis.

All speakers are required to submit their final presentation slides ahead of the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session. The deadline for presentations is Monday, November 3.

You can download a conference-branded presentation template here; use of the template is optional.

To upload slides:

  • Log into your OSS Korea speaker profile through Sched.com
  • Go to your session within Sched
  • Click on Session tools to the right of the session title
  • Underneath the session title, select Add Presentation
  • Upload your pdf document (note: there is a 50MB size limit)
  • The presentation will automatically save to your session
  • The above steps, along with screenshots, can also be found here
  • Or send to jcrowley@linuxfoundation.org who will upload them on your behalf

Connecting Your Laptop to present

If you plan to use speaker notes, please follow the steps below to ensure your laptop is set up correctly. This will allow you to view your notes while the audience sees only your slides.

Before Connecting
  • Close all unnecessary apps & tabs
  • Turn off notifications
  • Disable Night Mode / TrueTone
  • Don’t enter full-screen presentation mode yet
At the podium
  • Plug in the HDMI cable
  • If needed, use your USB-C to HDMI adapter
  • On Mac, click “Allow” if prompted
Use “Extended Display” mode (not Mirrored)
Using MAC
  • Go to System Settings > Displays
  • Click the “Arrangement” tab
  • Make sure “Mirror Displays” is unchecked
Using PC
  • Press ⊞Win + P, then select “Extend”
  • Or: Right-click on the Desktop > Display Settings
  • Under Multiple Displays, select “Extend these displays”
PowerPoint
  • Start slideshow: ⌘Cmd + Enter (Mac) or F5 (PC)
  • Or: Click Slide Show > Play from Start
  • If notes show on the wrong screen, click “Swap Displays”

Google Slides
  • Use Google Chrome as your browser
  • Click the dropdown next to ‘Slideshow’ > select Presentation Display Options
  • Check “Presenter View” and “Full Screen”
  • If prompted, select “Allow”
  • Choose the external display (may have a strange name like PanasonicXYZ)
  • Click Start Slideshow

We understand that there may be circumstances beyond your control that prevent you from speaking in person; however based on attendee feedback, we have decided to not include virtual talks for this event. All talks will continue to be streamed live online so that a wider audience may benefit from the content. If your availability has changed and you are unable to participate, please email cfp@linuxfoundation.org as soon as possible so that we can remove your session from the agenda.

In collaboration with the National Center for Women in Technology (NCWIT), the Linux Foundation has created an online course designed to teach the viewer about inclusion, diversity, and unconscious bias. We highly recommend all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging. 

Along with the online course, we suggest that speakers also refer to the Inclusive Language Initiative’s language recommendation list, which provides guidance on substituting hurtful and exclusive language in the field of information technology.

Please review our Code of Conduct, which all participants must follow. It’s strictly enforced, and we ask speakers to prioritize inclusivity and appropriate language and imagery in their presentations.
