We look forward to having you present at KubeCon + CloudNativeCon Europe 2023! Below you will find all logistical details needed to prepare as a speaker.

SPEAKER GUIDES

It is important to read this page in its entirety and refer to your speaker guides below to answer many common questions.

Code of Conduct

Please read and abide by our code of conduct, which is strictly enforced. We ask that speakers especially review and are careful to be inclusive in the words and images used during their presentation.

SESSION LOGISTICS

Sessions will be video recorded + live streamed into the Stova (formerly MeetingPlay) platform. All questions from both the in-person and virtual audiences will take place in the #2-kubecon-sessions Slack channel. We request that you spend a few minutes reviewing this channel after your talk to engage with those attendees.

All talks will be recorded and uploaded to our CNCF Youtube Channel within two weeks after the event.

In-Person Speakers
  • All speakers must supply their own computer, HDMI adapter, and European-compatible power adapter to use during their sessions. 
  • An AV tech in the room will be available before and during your presentation. Please visit the Audio Visual (AV) table at least 15 minutes before your presentation time in order to receive your microphone and to connect your laptop.
  • Breakout rooms will include a screen, projector, and (2) wireless microphones.
  • Please repeat any questions asked during Question+Answer for the virtual audience to follow along.
  • We recommend viewing seasoned CNCF speaker Bart Farell’s in-depth speaker training video and accompanying guide ahead of traveling to the event.
Virtual Speakers
  • Pre-recorded talks will automatically play at the time listed on the schedule.
  • Virtual and in-person attendees are encouraged to post questions in the #2-kubecon-sessions Slack channel. Please monitor this channel during and after your pre-recorded talk to engage with the attendees.

HEALTH + SAFETY PROTOCOLS

Take a moment to review our Health + Safety Protocols before your arrival. As a reminder:

Our attendees’ health and safety remain our top priority as we continue to make the best and most informed decisions around onsite safety and requirements within the bounds of what is possible in different municipalities. Please note that based on the Dutch Government’s move to declare COVID-19 in an endemic phase on March 10, we can no longer require proof of vaccination or a negative COVID-19 test for in-person event participants.

We will continue to provide the the following Health & Safety measures onsite:

  • Providing optional, free and confidential testing onsite administered by medical professionals
  • Providing wearable indicators of social distance comfort levels to event participants to wear onsite (optional but encouraged)
  • Conducting frequent onsite cleaning and sanitizing of all touch points
  • Sanitizing microphones between each speaker’s use
  • Providing plentiful sanitation stations onsite
  • Providing personal hand sanitizer bottles, wipes and masks upon request

We also highly recommend that onsite participants wear a mask and get tested for COVID-19 prior to joining the event in person, in order to best protect themselves and other attendees. If you are not feeling well onsite, please refrain from attending the event and/or get tested.

All current protocols are subject to change should there be a change if local municipality and health agency guidelines indicate or require that they should change. We will do everything we can to provide any updates as early as possible.

SPEAKER + PROGRAM COMMITTEE + AMBASSADOR RECEPTION

Please join us for a reception Tuesday evening to meet with fellow speakers, the event program committee, and CNCF Ambassadors. Be sure to pick up your badge by 17:30 in order to be admitted to the reception.

EVENT DAY COMMUNICATION + SUPPORT

We are using Slack as the primary tool for communication among attendees, speakers, staff, and sponsors.

SHARE SLIDE DECK

If you have not uploaded your slides to Sched.com, please submit a PDF copy of your slide deck as soon as possible.

QR CODE FOR FEEDBACK

We encourage all speakers to add their session’s provided QR code to the end of their presentation to encourage attendees to score the session and leave feedback. All attendee feedback will be sent via email after the event.

⚡Lightning Talk DETAILS

Lightning talks, as the name suggests, go very quickly and we ask that you please come practiced, prepared, and on time.

  • Date and Time: Tuesday, 18 April from 17:30-18:30
  • Location: Auditorium
  • AV Check-In + Walkthrough: All speakers must arrive by 16:45 to be seated in order and receive a quick demonstration on how to use the wireless slide advancer with the combined master slide deck.
  • AV Setup: We will provide a podium microphone, visible speaker timer, and a wireless slide advancer. A dedicated production manager will be at the walkthrough to lead you through everything to expect.
  • Stage Set-up: The lightning talk stage will have a main center screen to display your content slides and a confidence monitor for you to view your slide. There will not be a monitor to view your PowerPoint notes, so please ensure you are memorizing your points or bringing notes on stage.
  • Lightning Talk Host: Our host will introduce each speaker and call you on stage when it is your time.

🚨Contribfest details

Each ContribFest session will have an AV tech in the room to assist with any technology questions with connecting your laptop to the main screen. Please arrive 15 minutes before your start time and direct all AV-related questions to the tech in the room.

Setting You up for Success
  • Prepare Ahead of Time – It is up to the presenters on how to spend the 90 minutes, but please remember that the point is to get contributions from attendees. To get the most out of your session, please confirm the overall goal with your contributors ahead of time to avoid giving mixed signals. We also highly recommend having your repo ready to go ahead of time and that somebody in the room has the ability to merge PRs.
    If you have any mechanism to track success (e.g. labeling, copying the commits or PR in a doc for sharing, etc.) please have this ready before your ContribFest session begins. 
  • Beginning your Session – At the beginning of the session, you are required to give a brief introduction to the issue you want to solve. This is important to familiarize attendees with the problem in case they are new to your project. After your introduction, we encourage you to interact with the attendees as much as possible to network, collaborate, and find meaningful solutions. This is your chance to work closely with contributors to your project and make lasting connections. 
  • Room Layout – Unlike other breakout sessions or tutorials, the ContribFest room will have six communal-style tables that will seat 8 comfortably per table. This is to facilitate a more casual conversation between attendees to work together in achieving the goal at hand. There will also be bean bags and comfortable couches that we encourage attendees to use.
