Speaker Guide

We welcome you as a speaker for Open Source Summit Japan + ALS + ELC Asia 2026, taking place December 7-9

• Speakers Registration Deadline: October 7 (Wednesday). You should have received registration information in your speaker notification email. Please email [email protected] if you need this information sent to you again.
• Additional AV Request Deadline: November 9 (Monday)
• Speaker Slides Due: December 6 (Sunday)
• Event Dates: December 7-9 (Monday – Wednesday)

Your registration confirms that you will speak, and you must register by October 7 (Wednesday). Please see your speaker notification email for registration information or email [email protected] if you need this information sent to you again.

All speakers receive complimentary registration, and any co-speakers or panelists can register using the same details provided above.

If you require a visa letter, please register for the event and then complete the visa letter request here as soon as possible.

In addition, we ask that you please note the following:

The Linux Foundation processes most visa letter requests in (3) business days.

Provision of a visa letter by The Linux Foundation does not guarantee visa approval, as final approval is made at the sole discretion of the government of the event’s host country.

The Linux Foundation strongly recommends requesting a visa letter at your earliest possible convenience and contacting your local Embassy/Consulate with any visa questions you may have.

The schedule will be announced on September 28. Please also note that, to accommodate content, your session timing might have been changed from your original submission.

If you have a conflict with the timing of your talk, find that it conflicts with the content of another talk, or are having problems uploading your bio and photo, please contact [email protected].

Please note the following technical requirements:

• All speakers must supply their own computers and adapters to use during their talk.
• Presentation slides should be formatted in 16:9. 
• The room will include a screen, projector, and (2) microphones; panelists will each receive their own microphones.
• If you require additional AV, please email [email protected] with those needs by November 9 (Monday). The Linux Foundation will make every effort to accommodate additional AV needs; however, final approval for additional AV requests will be made on a case-by-case basis.

All speakers are required to submit their final presentation slides before the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session. The deadline for presentations is December 6 (Sunday)

To upload slides, follow these instructions (guide with screenshots):

• Log into your Open Source Summit Japan speaker profile through Sched.com or via the mobile site.
• Go to your session within Sched.com
• Click on Session tools to the right of the session title
• Underneath the session title, select Add Presentation
• Upload your pdf document (note: there is a 50MB size limit)
• The presentation will automatically save to your session
• Or send them to [email protected] who will upload them on your behalf

In collaboration with the National Center for Women in Technology (NCWIT), the Linux Foundation has created an online course designed to teach the viewer about inclusion and unconscious bias. We highly recommend all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging.
