Sample Letter

Dear {Manager’s Name},

I’d like to attend the upcoming Open Source Summit Japan taking place December 8-10, 2025, in Tokyo, Japan. I’ve researched many conferences and found that this is the premier event for open source developers, technologists, and community leaders to collaborate, share information, solve problems, and gain knowledge, furthering open source innovation and ensuring a sustainable open source ecosystem.

Nearly 1,000 talented individuals from across the ecosystem will gather to share learnings, highlight innovation, and discuss the future of open source — including Linux, Embedded Linux, IoT, Cloud Native, Containers, Supply Chain Security, Community Leadership, AI & Data, New & Emerging Open Source Projects, and so much more.

Here’s how I envision my attendance at Open Source Summit Japan strengthening our company:

  • Open Source Summit Japan offers a variety of sessions, including presentations, hands-on tutorials, deep-dive technical lectures, and visionary keynotes from industry leaders. Attending these sessions will allow me to build my knowledge and learn from other community members on best practices.
  • The infamous “hallway track” at Open Source Summit Japan will allow me to meet the top technical minds in the ecosystem. I hope to meet others that might face the same challenges and problems I do so that we can work together to solve technical issues now and in the future. Creating strategic partnerships at the event could be very useful in the future when we encounter new challenges.

If I register by September 23rd, the fee is only $449. Included in the registration fee is access to all keynotes and sessions, access to the solutions showcase, hallway tracks and lounges, continental breakfast, morning and afternoon breaks, and lunch. It also includes entrance to the evening events, including theTux Trek, and other networking events.

I would be happy to write a post-conference report detailing what I’ve learned and recommend any changes we can implement to improve our practices.
