Co-located Event Speaker Guide

Overview

Thank you for speaking at a CNCF-hosted Co-located Event at KubeCon + CloudNativeCon North America 2022, taking place Monday, October 24 and Tuesday, October, 25. This event is happening in person at Huntington Place in Detroit, Michigan and select co-located events* will be streamed live via the MeetingPlay virtual platform.

*Only Cloud Native eBPF Day, Cloud Native SecurityCon + Cloud Native Wasm Day have sponsored live-streams of their events that will stream directly to our virtual event platform, MeetingPlay.

This is the official event speaker guide for CNCF-hosted co-located event speakers presenting in-person in Detroit, MI. Please bookmark this page for easy reference and continue to check back as the event gets closer as we will be adding additional speaker information, such as on-site details, as they become available. registration and Health + Safety

Your In-Person Speaker Registration serves as confirmation that you will be speaking. Please register by the deadline of Monday, September 26.

  • In-Person Registration, Select the most relevant registration type [Corporate, Individual, Sponsor, Academic]
  • On the payment page, use your Discount Code to waive the co-located event registration fee.

If you are already registered for KubeCon + CloudNativeCon, please modify your registration to also include the co-located event you’re speaking at and add the discount code on the payment page.

If you have a Complimentary In-Person Sponsor Booth Staff code (In-Person Sponsor Booth Staff) for KubeCon + CloudNativeCon, please register as the “In-Person Sponsor Booth Staff” registration type, add your co-located event and then add the co-located event discount code and the Complimentary In-Person Sponsor Booth Staff code on the payment page.

If you have a 20% SPONSOR Discount code for KubeCon + CloudNativeCon, please register as the “In-Person Corporate Attendee” registration type, add your co-located event, then add your sponsor discount code and your co-located event discount code on the payment page.

Access to sponsored virtual/live-streamed CNCF-hosted co-located events (Cloud Native eBPF Day, Cloud Native SecurityCon & Cloud Native Wasm Day ONLY) is included with KubeCon + CloudNativeCon North America registration. No separate registration for live-streamed co-located events is required for speakers or attendees.

You should have received registration details in your acceptance email. If you need this information sent to you again, please contact the CNCF Co-located Events Team. If you are not registered by Monday, September 26, there is a possibility that your speaking slot will be replaced by one on our waiting list, so please register promptly.

Any co-speakers or panelists that are part of the original CFP submission will also receive complimentary registration to the co-located event (this does not include registration to KubeCon + CloudNativeCon that needs to be purchased separately). Please contact the CNCF Co-located Events Team for details.

visa letter requests

If you require a visa letter, please register for the event, and then complete the visa letter request form by Friday, October 7.

speaker travel + Registration Assistance

If you requested travel and/or registration assistance as a part of your proposal and have not submitted your request, please do so as soon as possible. You can access the form here. The deadline to complete the Speaker Travel + Registration Assistance application is Friday, September 16.

Note: Talk acceptance does not guarantee travel funding.

Venue + HOTEL ACCOMMODATIONS

This year’s event will take place at Huntington Place located at 1 Washington Blvd, Detroit, MI 48226. We have several discounted room blocks* and invite you to view this information on our Venue + Travel page.

*Rooms WILL sell out in advance of the room block closing date – we encourage you to book early to secure a room at the conference rate.

IMPORTANT NOTE: Timing of sessions and room locations are subject to change.

Session Timing (refer to your respective co-located event schedule for your session’s duration):

  • Lightning Talks are 5 or 10-minutes in duration (no Q&A)
  • Session Presentation/Deep Dives sessions are 20-30 minutes in duration (including 10-min Live Q&A)
    • Virtual / Pre-Record Presentations 20-30 minutes in duration (text based Q+A via Slack)
  • Panel Discussions are 30-40-minutes in duration (including 10-15-min Live Q&A)
    • All panelists must be presenting in the same format (there cannot be a mix of in-person & virtual speakers)

AV Details + Requirements

Please note the following technical requirements:

  • All speakers must supply their own computers and adapters to use during their talk.
  • Presentation slides should be formatted in 16:9. 
  • The room will include a screen, projector, and (2-4) microphones; panelists will each receive their own microphones.
  • If you require any additional AV, please email the CNCF Co-located Events Team with those needs by Friday, September 30. CNCF will make every effort to accommodate additional AV needs; however, final approval for additional AV requests will be made on a case-by-case basis.

day-Of Logistics

Please be aware that you should arrive at your room no later than 15-minutes before your session begins and visit the AV booth to ensure you get both audio and laptop setup before your talk is scheduled to begin. 

Presentation Details

All speakers are required to submit their final presentation slides ahead of the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session. The deadline for presentations slide submission is Wednesday, October 12.

To upload slides:

  • Log in to your speaker profile through Sched.com or via the mobile site
  • On the top of the page click “Manage and Promote Your Session”
  • Click “Add Presentation”
  • Click in the “Select a File” box and add the PDF document (note: there is a 50MB size limit)
  • Click “Upload” and your slides will automatically be saved

PowerPoint Presentation Templates

We designed an optional PowerPoint template for our speakers. Use of this template is not required but we welcome you to use it for your convenience. Please note that your presentation slides should be uploaded in PDF-format to Sched.com and must be formatted in 16:9 with a 50MB size limit.  Additionally, slides 4-6 in each template can be used to market + promote your talk!

Inclusive Speaker Orientation online course

The Linux Foundation, in collaboration with the National Center for Women in Technology (NCWIT), has created an online course designed to teach the viewer about inclusion, diversity, and unconscious bias. It is strongly encouraged by the Cloud Native Computing Foundation that all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging.
