Welcome

We welcome you as a speaker at Open Source Summit Japan 2023. The event will be held in person at the Ariake Central Tower Hall & Conference in Tokyo, Japan, from Tuesday, December 5 – Wednesday,  December 6, 2023.

Important Dates & Deadlines

  • Speakers Registration Deadline: Tuesday, October 31. You should have received registration information in your speaker notification email. Please email cfp@linuxfoundation.org if you need this information sent to you again.
  • Additional AV Request Deadline: Tuesday, November 7
  • cdCon Speakers – Upload Presentation Slides to Sched: Friday, December 1
  • OSS Speakers – Upload Presentation Slides to Sched: Monday, December 4
  • Event Dates – cdCon: Monday, December 4
  • Event Dates – OSS Japan: Tuesday, December 5 – Wednesday, December 6
  • Timezone: Japan Standard Time Zone (UTC+9)

Registration

Your registration confirms that you will speak, and you must register by Tuesday, October 31. Please see your speaker notification email for registration information.

All speakers receive complimentary registration and any co-speakers or panelists can register using the same details provided in your acceptance email.

Visa Letter Requests

If you require a visa letter, please register for the event and complete the request here. The Linux Foundation processes most visa letter requests in (3) business days.

Travel Funding

If you are applying for travel funding and have not submitted your request, please do so as soon as possible. The deadline for travel funding applications is October 20. You can access the form here.

Note that talk acceptance does not guarantee travel funding.

We have negotiated a discounted rate at the Hilton Tokyo Odaiba.

Please visit our Venue & Travel page for more information. Rooms will likely sell out before the room block close date of November 23 – we encourage you to book early to secure a room at the conference rate.

Schedule, Timing & Speaker Profiles

The schedule will be announced on Thursday, October 19, and posted on our website using sched.com. You will receive an email from sched.com asking you to create your account; please upload your bio and photo if not showing in your speaker profile.

Most breakout sessions are 40 minutes; lightning talks are 7 minutes, and tutorials are 90 minutes long. Please view the schedule for your exact session time. 

If you have a conflict with the timing of your talk, find that it conflicts with the content of another talk, or are having problems uploading your bio and photo, please contact cfp@linuxfoundation.org.

AV Details & Requirements

Please note the following technical requirements:

  • All speakers must supply their own computers and adapters to use during their talk.
  • Presentation slides should be formatted in 16:9. 
  • The room will include a screen, projector, and (2) microphones; panelists will each receive their own microphones.
  • If you require additional AV, please email cfp@linuxfoundation.org with those needs by Tuesday, November 7. The Linux Foundation will make every effort to accommodate additional AV needs; however, final approval for additional AV requests will be made on a case-by-case basis.

Presentation Template & Slide Upload

All speakers are required to submit their final presentation slides before the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session. The deadline for presentations is:

  • cdCon Speakers: Friday, December 1
  • OSS Speakers: Monday, December 4

To upload slides:

  • Log into your Open Source Summit Japan speaker profile through Sched.com or via the mobile site.
  • Go to your session within Sched.com
  • Click on Session tools to the right of the session title
  • Underneath the session title, select Add Presentation
  • Upload your pdf document (note: there is a 50MB size limit)
  • The presentation will automatically save to your session

Optional PowerPoint templates are available to download at the links below. Please note the use of the template is not required.

Inclusive Speaker Orientation Online Course

In collaboration with the National Center for Women in Technology (NCWIT), the Linux Foundation has created an online course designed to teach the viewer about inclusion, diversity, and unconscious bias. We highly recommend all of our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging.

Please read and abide by our Code of Conduct. Our code of conduct is strictly enforced. We ask that speakers especially review this code of conduct and are careful to be inclusive in the words and images used during their presentations.
